Overview

Nextforms is a form builder with a workflow engine built in. Every submission can trigger emails, approvals, Google Sheets rows, Notion pages, Slack messages and webhooks, with no separate automation tool. You build the form, draw the workflow on a canvas, and publish both together.

  • Getting started: build a form, publish it, read responses and run your first workflow. Start here.
  • Team and plans: invite teammates with roles, switch teams, and what Free and Pro include.
  • Question types: every question type and its settings.
  • Question settings: short names, hidden fields, prefilling from the link, and earlier answers in later questions.
  • Logic and pages: show questions only when they apply, and split the form into pages.
  • Calculations: totals, scores and prices from other answers.
  • Payments: one-time payments and subscriptions through your own Stripe account.
  • Design: colours, fonts, cover and logo, light or dark.
  • Publishing and versions: edit a draft while the form stays live, keep every response tied to the version it was answered on, and change a live form without anyone losing their answers.
  • Sharing a form: the link, a QR code, or embedded on your site.
  • Responses: the table, the summary, files, revisions and Excel export.
  • Templates: start from a ready-made form, workflows included.
  • Describe your form: let AI draft the form from a description.
  • Form settings: the form’s language, open and close the form, schedule it, cap responses, spam protection, password protection, one response per person, and deleting old responses.
  • Review screen: every answer on one screen before sending, with a way back to edit any page.
  • Ending screen: the thank-you message, or a redirect that can carry answers to the next page.
  • Field validation: length limits, a required format on text answers, and how many options a question takes.
  • How workflows work: the trigger, steps, waits, testing, and publishing versions.
  • Conditions and routes: send each response down a different path based on its answers.
  • Lookup tables: pick a value based on an answer, like an approver per department, for the steps after it.
  • Approvals and send back: pause until someone decides, and let the respondent fix their answers.
  • Email step: who you can email, and what goes in it.
  • Webhook step: POST each response to your own URL, optionally signed.
  • Answers in steps: put answers, the response number or an approval’s decision into any step.
  • Runs and fixing failures: what a run shows, and how to retry, release, skip or cancel one that went wrong.
  • Email sending: send from your own address with Gmail, Outlook or Microsoft 365, SMTP, Mailgun or Amazon SES.
  • Google Sheets: add each response as a row, and update the same row when it’s revised.
  • Slack: post a message to a channel for each response.
  • Microsoft Teams: post a card to a Teams channel for each response.
  • SMS: text the respondent or your team through your own Twilio account.
  • Notion: write each response as a page in a Notion database, with files attached and edits updating the same page.
  • Airtable: write each response as a record in an Airtable table, with files attached and edits updating the same record.
  • Zapier: send responses to thousands of other apps from a Send to app step, at the point in the workflow you choose.
  • Make: the same, for Make scenarios.
  • n8n: trigger a self-hosted or cloud n8n workflow with a team API key, and read forms and responses from n8n.
  • API: read forms and responses with an API key, and receive responses at your own URL.
